BidMail Viewing Plans/Specs FAQ

Q: I can't remember or lost my User ID ?

Normally it's your fax # you receive bid invitations to. (ie: 714-258-9359)

Q: I can't remember or lost my Password ?

Click the "Forgot Password" button on the login window or click HERE, then fill in your fax #, phone #, First Name, and Last name and click "Proceed" to have your password faxed to you.

Q: I am a new user, where do I go to get a User ID and Password ?

Click HERE to register for a free user id and password.

Q: I don't see the General Contractor on my list of Generals or I see the General Contractor but I don't see the project I was invited to bid on.

Make sure the fax# you received a bid invitation is the same fax# that you use to login. If the fax# you use to login does not match the fax# you received the invitation, you must register again with the different fax# or contact the General Contractor to correct your fax# in their BidMail system and resend another invitation. In some cases a General Contractor might have your toll free fax# at which you will need to register with the toll free fax# or again have the General Contractor change that number in their BidMail system. (Note: you must received a bid invitation to a project to see the General Contractors name and the invited projects)

Q: When I click on a project I receive a "Save As" or "Open With" dialog box.

This means you don't have the BidMail Viewer installed and your system does not know what program to associate the connection file to. Click HERE to download the BidMail Viewer.

Q: I have the BidMail Viewer installed but still cannot gain access to plans when I click on a project.

Empty your temporary internet files and cookies.
If you use Internet Explorer v7 or newer :
1. Click Start then Control Panel
2. Find and open Internet Options
3. On the General Tab click the Delete button under the Browsing History section.
4. Another window will pop‐up click Delete Files and choose Yes to clear all your temporary internet files.
5. Then click Delete Cookies and click Yes to cl to clear all stored cookies

If you use Internet Explorer v6 :
1. Click Start then Settings then Control Panel
2. Then open Internet Properties
3. Find the General Tab and Temporary Internet Files section and click Delete Files and choose Ok to confirm.
4. Then find the Delete Cookies button and click on it, then click on Ok to confirm.

If you use FireFox :
1. Open Firefox and click on the Tools menu at the top
2. Then click Clear Private Data and make sure all options are checked off.
3. Then click Clear Private Data Now

Q: When I click on a project, I receive a SSL 0 connection error.

You are missing the certificate to connect to our servers. Click on the following links to download and install the following certificates:

Q: Our office uses a proxy server to connect to the internet. How do I connect to a project then ?

Here is the info for your IT guy:
Port 443 must be open
The server must trust the following IP addresses

Q: I use a Macintosh, can I still view plans ?

1. Please install the OS X version (will only work on intel based Macs 10.4 or newer.
2. Once you have downloaded and installed the file above, make sure to restart all your web browsers if they are open.
3. Finally log back into your account and choose a project to view, if you are prompted to “Install Viewer” or “Launch Image Viewer,” choose “Launch Image Viewer” and the project will load.


BidMail Posting Plans/Projects while using BidMail for GC's FAQ

Q: I can't remember or lost my User ID and password to login to BidMail for GC's.

You will need to fill out our online customer service form or call 714‐673‐6060 to submit your User ID/Password request.

Q: I don't have a User ID and password to login to BidMail for GC's ?

You will need to contact our sales department to setup an account to use BidMail for GC's to post plans/projects. Their phone number is 877‐647‐7568.

Q: I don't have the icon on my desktop anymore to connect to BidMail for GC's. (ONLY for the BidMail for GC's web users)

You will need to create a new shortcut on your desktop, follow these steps:
1. Right mouse click on a blank area on your desktop.
2. Choose new then shortcut.
3. A new shortcut wizard will appear prompting you to enter a location, type in http://www.bidmail.com/bm_ssl.ica then click next.
4. Next you will be prompted to enter a name for the shortcut (ie: BidMail Web) and then click finish.
5. You will now see a web shortcut on your desktop to connect to BidMail Web, it will most likely have the icon of your internet browser.

Q: I don't have the icon on my desktop anymore to connect to BidMail for GC's. (ONLY for Standalone BidMail GC users)

Navigate to My Computer and open the mapped network drive that points to the BidMail server. Locate bidmail.exe and right mouse click on it. Then choose send to then desktop (create shortcut). Now you should have the icon on your desktop again.


Common Questions and Answers

Q: My General Contractor is not showing.

If one or more GC is missing from your list, try clicking the Display General Contractors with Expired Project checkbox at the bottom left corner of the general list page.  This will show all Generals who have invited you to bid on projects that have past the bid date. Sometimes a General forgets to send you a bid invitation through BidMail.  If you have not received a fax or email invitation from the General Contractor that is missing from your list, please contact the General and make sure they send you an invite through BidMail.

Q: Project is not listed.

Make sure you have received a bid invitation from the General Contractor, for the missing project.

Check the fax number you received the fax through, if that is not the same fax number you use to login, then it may be possible you have another account.

Double check the bid date.  If the bid date has passed then try clicking the Show Expired Projects checkbox at the bottom left corner of the project page.

Q: Cannot view plans.

First, install the BidMail Viewer by navigating to www.BidMail.com/download.html and clicking the first link in the listBidMail Plan & Specs Viewer, then on the next screen clickInstall Viewer.  When prompted click Save and choose a location to save the BidMail Viewer Setup File (bv_web_setup.exe).  Once the file has completed downloading to the location you specified, double click the bv_web_setup.exe file and follow the on screen instructions to install the viewer.  Once completed you can log back into your BidMail account, choose a project and click Plans at the top of the page to view the plans for that project.  If you get a message to Install Viewer or Launch Image Viewer select Launch Image Viewer and the plans will be displayed.

If you try to click on Plans and get a prompt to save an *.ICA file, you do not have the BidMail Viewer installed and will need to follow the instruction above to install the viewer.

Macintosh users will need to download the Citrix Online Plug-In for Mac by clicking Here. After downloading and installing the plug-in log back into BidMail.  On your project list, make sure to uncheck the Use SSL Encryptionor else your connection will fail.

Sometimes pages will be missing.  BidMail relies on the General Contractors to provide a complete set of drawings and specs. Please contact the General Contractor if a missing page was left out intentionally or if they need to provide the missing page to their BidMail affiliated printer to upload back to BidMail.

If you are getting a Proxy Connection Error try each of the following until your issue is solved:

  1. 1. Click/Unclick the Use SSL Encryption checkbox at the bottom left of the project page.  If this still does not work try #2.
  2. 2. On your Internet Explorer window, click on the Tools option, then click the Connections tab, then click the LAN Settings button.  You should see a Local Area Network Settings window appear, make sure Automatically detect settings and Use Automatic Configuration Script and both unchecked.  If this works you should be fine, if not make sure to recheck the checkboxes you unchecked.
  3. 3. Proxy: you may need assistance from your IT company or internal IT employee.
  4. - Port 443 must be open

Q: How can I manage my account ?

Management of your account can be accomplished under the Profile Tab at the top of the page.

Company Info Section   
1. Highlight any field to modify the information and click the Update button to the right to save your changes.

2. How to add additional fax numbers? Right on the fax number field there is a + button, click that to add any additional fax numbers you may receive fax invites through.  (Note: this will grant you future access to plans and projects for fax invites you receive to your different fax numbers.  If your fax number is already used in our database by another company you will not be able to add it.  Contact BidMail if you feel another company is using your fax number without authorization.  Also, additional fax numbers you add will only be active to grant access to plans and projects only if the GC sends you another invite to those fax numbers.)

Employee Info Section
1. Add a User - click on the New button at the bottom.
2. Remove a User - click on the employee and then click the Delete button at the bottom.
3. Edit a User (including their User ID and Password) - click on the employee name and then click on the Edit button at the bottom.

4. Stop receiving invites - If you would like to stop receiving invites from GC's, please contact the GC's and have them remove you off their BidMail contact list.

5. How do I change my primary contact name, primary email address, or primary fax number so I know invites are coming to me? There are two ways you can do this. One is to contact each GC and have them change the information in their BidMail system. The second option is to respond to bid invites online and choosing the correct contact before submitting the response back to the GC (Note: you have to do this for each GC when they send you a bid invite, if you only do it to one project for a GC, you will only change the primary contact for that GC but may still have a different contact for other GC's until you respond to their invites).

Q: Change your preferred communication for bid invites.

This feature will be in effect after the first week of January 2011.

Steps:
- Click on the Profile tab at the top of the page.
- Choose the employee that you want to change the preferred communcation for and click Edit
- Then in the field Communication preference, change it to your preferred communcation type for that employee (Fax and Email, Email Only, or Fax Only)
- Click Update to save your changes
- Repeat the steps above for each employee that may receive invites.
